Which site, which client, what you have already, and what the client's review has asked for. A rejection letter or gap list is the fastest possible starting point.

2. We scope, and tell you what you can keep

We list exactly which documents are needed and which of your existing ones are usable as-is. You are not paying us to rewrite something that already passes.

3. Fixed price, confirmed in writing

Usually within two business days of scoping. Once it is confirmed the price does not move, and the delivery date is set from that point.

4. The Review-Pass Guarantee

If a document we built doesn't pass, we revise it free until it does — full terms below.

Most WHS providers sell a monthly plan — an advice line, a template library, software you log into — on a fixed-term contract. That model suits a business that needs a policy on file. It does not get a contractor through a client document review, because the reviewer is not checking whether you have a procedure. They are checking whether it describes your operation.

The Review-Pass Guarantee

If a document we delivered does not pass the review it was built for, we revise it free until it passes — no cap on revision rounds — for 90 days from the delivery date.

When it starts and ends. The 90 days runs from the delivery date recorded on your delivery notice, which also states your expiry date. It runs from that date whether or not the pack has yet been submitted for review — so submit early rather than late.

What’s covered. Any change needed to close out written feedback from the reviewer named in your quote, showing that a document we supplied does not meet the scope agreed at quoting or the client standard named there.

What’s not covered — quoted separately as new work:

  • documents, packs or scope added after the date of your quote
  • changes to your client’s standards, contract requirements, or to legislation, taking effect after delivery
  • revisions caused by a change to your operations, site, personnel or systems after delivery
  • feedback that has not been put in writing by the reviewer
  • feedback from a review by a client, principal or regulator other than the one named in your quote
  • changes reflecting reviewer preference rather than a requirement of the named standard or the agreed scope

Conditions. The guarantee applies while your account is current — invoices for the pack paid by their due date. We are not obliged to carry out guarantee work while an invoice is overdue, and the 90 days is not extended by that time. It covers the review your pack was scoped for: the client, principal or regulator named in your quote. If you submit the same pack to a different reviewer, that review is quoted separately.

If we disagree on whether something is covered. Coverage is decided by reference to the document list in your quote and the standard named there, not by either party’s view of what was intended. If a finding cites a requirement of that standard and the document as delivered does not meet it, it is covered.

How to claim. Send us the reviewer’s written feedback before your expiry date. Verbal comments do not start a claim — we need the reviewer’s documented position to close it out properly.

What “branded to your organisation” includes. Your colour palette through headings, tables and document-control blocks, your typeface where you supply it, your document numbering scheme, and your own terminology throughout — your org chart roles, your plant names, your site names. The pack reads as your management system.

What is quoted separately. Adding your actual logo — the clean default styling is what keeps every suite quick to update; rebuilding the documents inside an existing corporate template, style guide or client-supplied controlled template; matching an existing document set page-for-page; and custom layout, graphics or typesetting beyond our controlled structure. We tell you at quoting which of these applies to you.

Document packs — common questions

What documents does a contractor need for site approval?

Most client-controlled sites expect an HSE management plan, a risk management procedure, safe work method statements for each high-risk activity, a training and competency matrix, plant and equipment registers with maintenance evidence, emergency response procedures, and a document register showing version control. Many also require Principal Hazard Management Plans or control plans covering the hazards your scope touches. The definitive list comes from the principal's contractor management standard, so we build to that document rather than a generic checklist.

How long does it take to build a document pack?

The Site-Ready Contractor Pack is delivered in 10 business days from the day scope is confirmed. Complete systems and bespoke Principal Hazard Management Plans take longer and are scheduled when we confirm scope, usually within two business days of your enquiry.

How much does a document pack cost?

A Site-Ready Contractor Pack starts from $1,790 AUD ex GST. A Core WHS/HSE Management System and a Maintenance & Reliability Suite both start from $6,990 AUD ex GST. Mining Compliance Premium work starts from $8,990 AUD and is quoted per plan. Specialist Packs are priced on scope. Final price is confirmed once we understand your site, plant list and your client's contractor management standard.

Are the documents customised or templates?

Customised. Every document is authored around your org chart, plant list, scope of work and actual site risk, then branded to your company. We do not run a find-and-replace over a generic pack. Recycled templates are the single most common reason a client document review fails.

Can you revise the pack if the client rejects it?

Yes. That’s our Review-Pass Guarantee. If your pack does not pass your client's document review, we revise it free until it does — no cap on revision rounds, for 90 days from delivery. We close out written feedback from the reviewer named in your quote where a document does not meet the agreed scope or your client’s named standard. Scope added after quoting, or a change to your client’s standards after delivery, is quoted as new work.

Where do you work — do you take clients outside Australia?

Yes. We’re based in NSW and work Australia-wide, with document work delivered worldwide. Documents are written to the legislation, standards and principal requirements that apply to your site, wherever it is.

Do you only work with documents you’ve built, or can you take over ones we already have?

We don’t need to have built them. We review what you have, fix what’s out of date or non-compliant, and a Document Care Plan takes over the ongoing updates from there.
